Zoho to Stack
Welcome to your guide for migrating data and functionalities from Zoho’s suite of applications to Stack. This guide will help ensure a smooth transition, retaining key data, automations, and workflows while taking full advantage of Stack’s integrated marketing and CRM capabilities.
Important: Make sure to migrate all of the following components when switching from Zoho to Stack:
- Contacts
- Users
- Calendars
- Opportunities
- Forms
- Contracts
- Sites
- Automations
- Analytics
Migrate Contacts
Section titled “Migrate Contacts”Step 1: Export Contacts from Zoho
Section titled “Step 1: Export Contacts from Zoho”-
Prep Contact Data for Export:
- Recreate mailing lists and segments into tags for migration to Stack.

Export Zoho Data:
- Navigate to Setup and select Data Administration. Choose Export, then Module > Contacts.

Select Fields to Export:
- Choose fields from Custom View, All fields, or select specific fields. Ensure fields include either email or phone number.

Download Data:
- Click Export. Once completed, download the CSV file.
Step 2: Prepare CSV for Stack Import
Section titled “Step 2: Prepare CSV for Stack Import”- Check Date Formats: Ensure all date fields are in the
YYYY-MM-DDformat. - Encode Special Characters: Use UTF-8 encoding for special characters.
- Clean Up Data: Remove line breaks, emojis, and unnecessary characters.
- Recreate Custom Fields: In Stack, go to Contacts > Settings > Custom Fields to add necessary fields.
Step 3: Import Contacts into Stack
Section titled “Step 3: Import Contacts into Stack”- Log in to Stack: Navigate to the Contacts section.
- Start Import Process: Click Import Contacts.
- Upload CSV File: Select and upload your prepared CSV.
- Map Fields: Match CSV fields to corresponding Stack fields.
- Assign Tags and Lists: Apply tags and lists, such as “Zoho Import.”
- Complete Import: Click Import to add contacts to your account.
Step 4: Review Imported Data
Section titled “Step 4: Review Imported Data”- Review: Ensure all data is accurate and complete.
- Create Smart Lists: Use migration-specific tags to recreate smart lists.
- Cross-Check with Zoho Data: Verify data accuracy with original Zoho data.
Migrate Users
Section titled “Migrate Users”Step 1: Export Users from Zoho
Section titled “Step 1: Export Users from Zoho”-
Export Zoho Data:
- Navigate to Setup and select Data Administration. Choose Export, then Module > Users.

Select Fields to Export:
- Choose fields to export, ensuring inclusion of email or phone number.

Download Data:
- Click Export and download the CSV file once completed.
Step 2: Prepare CSV for Stack Migration
Section titled “Step 2: Prepare CSV for Stack Migration”- Check User Data: Ensure unique email IDs for all users.
- Breakdown Users By Teams: Organize users by teams and permissions.
Step 3: Manually Add Users to Stack
Section titled “Step 3: Manually Add Users to Stack”- Add User: Go to Settings > Team and click + Add Employee.
- Set User Type and Role: Assign appropriate roles and permissions.
- Add Remaining Users: Clone permissions for consistency.
Migrate Calendars
Section titled “Migrate Calendars”Step 1: Export Appointments from Zoho

Export Zoho Data:
- Navigate to Setup and select Data Administration. Choose Export, then Module > Appointments.

Select Fields to Export:
- Choose fields to export.

Download Data:
- Click Export and download the CSV file once completed.
Step 2: Recreate Zoho Calendars in Stack
Section titled “Step 2: Recreate Zoho Calendars in Stack”-
Create Stack Calendars:
- Go to Settings > Calendars and set up calendars similar to ZohoBookings.

Add Calendar Integrations:
- Navigate to Settings > Calendars > Connections to sync calendars.

Preview and Test:
- Ensure the new setup matches your current booking system.
Migrate Opportunities & Pipelines
Section titled “Migrate Opportunities & Pipelines”Step 1: Export Deals from Zoho
Section titled “Step 1: Export Deals from Zoho”-
Export Zoho Data:
- Navigate to Setup and select Data Administration. Choose Export, then Module > Deals.

Select Fields to Export:
- Choose fields to export, ensuring inclusion of email or phone number.

Download Data:
- Click Export and download the CSV file once completed.
Step 2: Recreate Pipelines in Stack
Section titled “Step 2: Recreate Pipelines in Stack”- Log in to Stack: Go to Opportunities > Pipelines > + Add Pipeline.
- Add Custom Opportunity Fields: Create fields similar to Zoho Deals.
Step 3: Import Opportunities
Section titled “Step 3: Import Opportunities”- Prep CSV Data: Ensure it meets Stack’s requirements.
- Add Opportunities to Stack: Import and map fields accordingly.
Step 4: Verify Data
Section titled “Step 4: Verify Data”- Review Data: Ensure accuracy and completeness of imported data.
Migrate Forms
Section titled “Migrate Forms”Step 1: Export Forms from Zoho
Section titled “Step 1: Export Forms from Zoho”- Log in to Zoho Forms: Access your account.
- Export Form Responses: Manually export form structures and responses.
Step 2: Recreate Forms in Stack
Section titled “Step 2: Recreate Forms in Stack”- Create Forms in Stack: Go to Sites > Forms and create new forms.
- Configure Form Actions: Set up automated actions to replicate Zoho functionality.
Migrate Contracts and Documents
Section titled “Migrate Contracts and Documents”Step 1: Export Documents from Zoho
Section titled “Step 1: Export Documents from Zoho”- Log in to Zoho: Select the Contracts tab.
- Download Contracts: Manually download contract structures.
Step 2: Recreate Contracts in Stack
Section titled “Step 2: Recreate Contracts in Stack”- Create Contracts in Stack: Go to Payments > Documents & Contracts and create new documents.
- Configure Document Actions: Set up document actions to replicate Zoho functionality.
Migrate Websites
Section titled “Migrate Websites”Step 1: Export Website Content from Zoho Sites
Section titled “Step 1: Export Website Content from Zoho Sites”- Log in to Zoho Sites: Access your account.
- Export Website Content: Manually copy content, save HTML/CSS, and download media files.
Step 2: Rebuild Website in Stack
Section titled “Step 2: Rebuild Website in Stack”- Rebuild Site in Stack: Go to Sites > Funnels or Sites > Websites and recreate pages.
- Disconnect your Domain(s) from Zoho: Remove domains from Zoho.
Step 3: Connect your Domain to Stack
Section titled “Step 3: Connect your Domain to Stack”- Log in to Stack: Go to Settings > Domains > Add Domain and enter your domain(s).
Migrate Automations
Section titled “Migrate Automations”Step 1: Document Automation in Zoho
Section titled “Step 1: Document Automation in Zoho”- Document Workflow Rules: Access Setup > Automation > Workflow Rules.
- Document Automated Responders: Access Leads/Contacts and document autoresponders.
- Document Lead Scoring Rules: Access Setup > Automation > Scoring Rule.
Step 2: Recreate Engagement Scoring in Stack
Section titled “Step 2: Recreate Engagement Scoring in Stack”- Replicate Lead Scoring: Go to Settings > Manage Scoring > + Add New Rule.
Step 3: Recreate Triggers and Actions in Stack
Section titled “Step 3: Recreate Triggers and Actions in Stack”- Log in to Stack: Go to Automation > Workflows.
- Set up Triggers and Actions: Configure similar triggers and actions to replicate Zoho automations.
Migrate Analytics
Section titled “Migrate Analytics”Step 1: Export Zoho Analytics
Section titled “Step 1: Export Zoho Analytics”- Export: Manually export or copy additional data or configurations from Zoho.
Step 2: Walkthrough Stack Reporting Features
Section titled “Step 2: Walkthrough Stack Reporting Features”- Custom Widgets: Recreate reporting in dashboard widgets to match Zoho analytics.
By following these steps, you can ensure a seamless transition from Zoho to Stack, retaining all essential data and functionalities.
